1. What information Xtr4ct handles

Xtr4ct may process business contact information, account information, invoices, quotes, contracts, supplier details, project information and other documents or data provided by customers and authorised users.

Information may include organisation names, business contacts, suppliers and project details supplied in operating the service.

3. User account information

Account identifiers and contact details are used to manage authorised access. Legal acknowledgements record the user, document versions and acknowledgement time.

4. Invoice/document information

Documents may contain personal and business information. Customers should provide only information they are entitled to share and that is needed for their workflows.

5. Accounting integration data

When a customer connects an accounting provider such as QuickBooks, Xero or MYOB, Xtr4ct may access and process information authorised through that provider's connection and permission model.

6. AI processing

Xtr4ct may use cloud-based artificial intelligence services to process documents or user-provided content. Information sent to those services is limited to what is required to provide the relevant feature.

7. How information is used

Information is used to provide, secure, support and improve Xtr4ct, including document extraction, workflow processing, cost analysis, notifications, accounting integrations and related customer-requested functionality.

8. Service providers and subprocessors

Where Xtr4ct connects to external services, those services may separately process information under their own privacy policies.

9. Data storage and security

Customer information may be stored and processed using cloud infrastructure and service providers used to operate Xtr4ct. 533d Consulting applies reasonable technical and organisational measures intended to protect information from unauthorised access, loss or misuse.

10. Retention

Information is retained for as long as reasonably necessary to provide the service, meet contractual obligations, resolve disputes or satisfy applicable legal requirements, subject to configured product retention policies.

11. Cross-border processing

Cloud and connected service providers may process information in locations outside Australia, depending on the service and configuration used.
